Case study

Brazilian Flame

Brazilian Flame is a Brazilian barbecue group in Sydney: restaurants in Zetland, Dee Why and Maroubra, a central warehouse, and a catering and festival arm that cooks over open fire at events like Meatstock and Vivid Sydney.

Working in-house, Augusto covered both sides of the business: the creative work that sells it, and the business intelligence that keeps it on track. Everything on this page comes from that work.

Business intelligence

Nine systems. Three stores, a warehouse and a festival arm. One reporting model everyone can trust.

How the data flows

From raw exports to decisions

Raw data lands untouched, a rules layer cleans and classifies it, and every dashboard reads from the layer beneath it. When a number looks wrong, you can see exactly where.

Financial figures belong to the client and are not shown here.

What was built

Six streams of work

Each one answers questions the source systems couldn't answer on their own.

01Performance

Store P&L engine

Weekly, monthly and year-to-date results for every store, compared against benchmarks with traffic-light status, and a full P&L cascade per site: sales, labour, cost of goods, prime cost, rent and profit.

  • Excel
  • Revel POS
  • Uber Eats
02Accounting

Clean costs from Xero

Supplier invoices, payments and bank data mapped through clear rules into each store’s operating costs, governed by a supplier register that decides how every cost is classified and treated.

  • Xero
  • Bank feeds
  • Supplier register
03People

Labour analytics

Hour-by-hour labour-versus-sales heatmaps from rostering data, plus a model that projects the effect of pay-rate changes across the whole team before they happen.

  • Deputy
  • Heatmaps
  • Rate modelling
04Planning

Budget vs actual

The full-year budget rebuilt inside the reporting model and wired to live actuals, so managers can see variance while the month is still running, not after it closes.

  • 24-sheet budget model
  • Live actuals
05Operations

Stock, waste and events

Warehouse-to-store transfer valuation and margin, meat-waste benchmarking by site, and one standard P&L structure for every festival and catering job.

  • Warehouse transfers
  • Waste tracking
  • Square
06Automation

One-click reporting

A library of VBA routines that imports data, refreshes every dashboard and exports the multi-page PDF report pack in one click, with data pulled from the Xero and Deputy APIs.

  • VBA
  • PDF report pack
  • Xero & Deputy APIs
Illustrated phone screens for the Brazilian Flame operations app: home, stock, alerts and sign-in

Internal tools

An operations app for the whole group

One system for stock, purchasing and stocktakes across seven establishments, built to replace a spreadsheet-based app.

  • Database designed, built and tested, with every decision documented
  • The triple check: ordered, arrived, invoiced, with an exception queue
  • Stocktakes with barcode scanning, recipes and warehouse transfers
  • A custom illustrated icon set and interface
